A successful presentation of Makerspace concepts at the UO Innovation Summit, and previous Board member Dean Walton gave a tour of the UO Science Library’s DeArmond Makerspace.

Clif reported on getting a hold of Dean. One member is now beginning to pay with Bitcoin. Followed-up with Erin about listing EMS on the Lane STEM website. Gave Ben problematic RFID for debugging, Ben is in the process of getting information about who has one or not. Continuing to finalize the membership spreadsheet; have members not in good standing sign a new physical membership form/liability waiver and have them on file; collate when was last door access date. Still working on action items, passwords to social media user names and passwords, there are LinkdIn and Flickr accounts that are still unaccounted for. Spreadsheet for member list still need those who have forms, access, or other requirements outstanding. All keymaster users are subscribed. Clif attempted to contact Diane (property manager) about the railing on the area above the office, and whether or not adding in flooring will suffice for the property management concerns., and will do so again.

Mostly we have to copy over the config, and temporary update it with the test domain name. The test domain name shouldn't appear anywhere else in any config file except where it's used as the actual domain name. If you have any filenames with this string in them, check that references to them don't appear in any of the config files because we'd rather not have to rename them too.

Can postfix deliver to maildirs on it's own or does it need something like procmail to help? eg:

BTW it ignores postfixes idea of where the maildirs are. You can either have local mail go into a users home or into the mail spool using one of these options:

You will probably want to copy the most recent postfix config dir over.

Sometimes your Imap client and server can get out of sync on what folders or subfolders exist, which can generate a lot of errors. It's best to restart your client and re-read the folder list when this happens. If you have a brand new account then courier package util maildirmake is good for creating an empty Maildir. eg,.

Some (or most) imap client/servers still use ~/Maildir as their default (instead of ~/.maildir). In Courier the default location and name of the maildir is set in it's configs residing in /etc/courier, but check for an overide to that in /etc/default/courier (not in debian?). To set up imap and pop? remove the current deamons ipopd and uw-imapd which are using /etc/cram-md5.pwd for the password file, (and the mbox format mail spool), and install:

Things to do: Check on the realy domain mapings so that it works with postfixadmin. Mailman needs a so-called "site list", which is the list from which password reminders and such are sent out from. This list needs to be created before mailman will start. To create the list, run "newlist mailman" and follow the instructions on-screen. Note that you also need to start mailman after that, using /etc/init.d/mailman start. Now you can get to the main page from: http://eugeneweb.com/cgi-bin/mailman/listinfo In case you want to access mailman thru a shorter URL you should add something like the following to your webserver configuration (this line is for apache): In this case you need to set the DEFAULT_URL_PATTERN in /etc/mailman/mm_cfg.py to http://%s/mailman/ for the cookie authentication code to work. Note that you need to change the base URL for all the already-created lists as well. In the past we had to keep the second line as well for some links that seem to have incorrect URLs, or at least from virtual domains, maybe we didn't catch all the previously created lists. The public archives are located in /var/lib/mailman/archives/public, you can create a symlink from /var/www if you like, or create an alias like the following:

Installing FUDforum: FUDforum dosen't have a deb package but you can probably set it up so it serves multiple sites pretty eaisally. You might have to move the FUDforum dir contents to it's correct location after the install. You might have other permission problems in messages and errors. For each forum that you want to connect to a mailing list you need to add some rules in: Categories & Forums --> Mailing List Manager, and add lines like these to the /var/lib/mailman/data/aliases, and /var/lib/mailman/data/virtual-mailman files:

If you are almost done testing and this is a real list such as Announce, you can set the moderation bit so you can cancel the test messages before they get into the list. You probably want to always set the hidden bit for these special addresses. Testing the setup: Tailing syslog is a good start, you can also try pipeing just to "|logger" to see that your messages are coming through. Making a little test script like ~clif/.bin/mailpipe is useful:

Then set permissions:

Use it with an alias like: test-foo: "|/home/clif/.bin/mailpipe", and capture a test message in foofile. Check the ownership of foofile to see if it's correct, eg www-data, see below... Now try sending that message, (and only keep one in foofile at a time) to a forum like so:

Check that it shows up. Sometimes if there is a permission or db problem it can take forever to process. If this happens your MTA (postfix) will time out and defer the message for later. In that case you won't see the (delivered to command: ... in your mail log. Now uncomment the /home/httpd... line in mailpipe and try sending to test-foo. Sometimes there is a problem in the maillist script that you don't see in the fudforum error log under "General Management", in that case set the mailpipe exit value to 255 and watch the syslog and FF error log for more errors, (also the bounced messages). You can also add a line like: fud_logerror('Maillist Starting.', 'mlist_errors'); to maillist.php and it will show up in the FF error log. Now try sending a message to com.eugenemakerspace.test-forum@eugenemakerspace.com, and check that it generates a line like this:

Oh, you might play with the db settings to see the enhancements are as reliable. Also in the mail rules set up, there is the "Slow Reply Match:" setting which might help if you manually set the subject line to act like a reply to a thread, otherwise it will blindly start a new one with the same subject. Conversely sometimes a message with a different subject will show up in the thread that it was a reply to. Before importing the archives or going live you might want to set up Subject and Body Mangling. Here are some sample filters:

You should also do something to obfuscate the email addresses contained within message bodies. This may not be that effective but at least it's an attempt. Edit ...scripts/maillist.php and add the bold lines:

You can also reload the whole forum from the MM archives this way if you need to do a mass filtering of all the post bodies. However it's tricky, and I'm not sure if all the merged topics will be split up again, or not. The way I've done it is to delete all the topics in a forum first except maybe a few sticky ones, then you edit /var/www-other/FUDforum/scripts/maillist.php and comment out the part that starts with: /* Handler for our own messages, which do not need to be imported. Clif did a quick summary of the previous board meeting. Karen, Tanda and Ben requested a snap election to replace the BoD. Though it was noted that the general EMS BoD election is in 73 days, a short time away. EMS has no precedent (or bylaws) for mid-term elections, so would have to develop a new one in a short time frame. The BoD offered to appoint a third member with the good faith approval of those present to settle the matter. Tom was elected as the third BoD member and appointed president with the good faith approval of all present. The Snap election request was withdrawn.

Clif introduced Michael Bacarella our new sysadmin. He's been taking on sysadmin duties at the EMS both to lighten Clif''s workload and also bring some fresh ideas from my 20 years of experience as a Site Reliability Engineer at Google and other firms.
# Added a few levels of system monitoring, so we have more visibility if things go down and when. Really helps with after-the-fact reports of site outages.
# Added off-site encrypted backups for the keymaster, so if the device dies or is stolen we can recover quickly. Also monitoring to make sure the backups are happening :)

Clif talked about wavers Cord said we should follow our own procedures. Clif should find who is in good standing and who has paid up and has forms in. Clif needs the paper work to do that. Michale is concerned that not everyone is on the mailing lists and don't know they are not members in good standing.

Cord feels the lists are not being used appropriately. Cord went on to express frustration over how he was informed that waivers were missing, and that it was publicly announced that a third of our waivers are missing due to paperwork mismanagement. Would have preferred if each member was contacted via email. There was general agreement in the room on this point.

Tom and Cord and others did not feel that a missing waiver should preclude dues-paying members from voting. Perhaps just from not being allowed to use the shop. Michale talked about electronic forms, and how it might solve these problems. Jher offered that if EMS hands you a key fob, it serves as a receipt of sorts; if you're a member in good standing; a missing waiver is EMS's problem, not a fault of the member. No objections were noted.

Jeffrey arrives at 10:50am

Jher notes that the BoD's overwhelmed by tasks. he says advisors will provide more transparency. If we have advisory councils for various things like shop stewards, sysamins, and a grievances council, it seems like a good way to get buy-in from more members. The members of these councils will reduce the BoD workload, and counsels can then distill things down and present them to the board and have them acted on.

Michael says there is actually a de facto sys admin committee (the sysadmin@ list). Jher noted that this was not very well publicized. Michael agreed and is taking efforts to make it more widely known that IT/systems issues should be reported here.

The board@ list is a suggestion box of sorts, unfortunately it's moderated so members are turned off by the automated response if they're not on the list (only board members are on the list). Ben asks if we can disable moderation. Clif says that opens us up to Spam, but we can have additional people configured to approve mailing list messages. Michael added himself to the board@ list as a moderator so requests can be approved more quickly. There was some talk about other channels for member input like another suggestion list and possibly a physical suggestion box. :-)

Dale wants to volunteer for the shop steward position but nobody has defined what a shop steward is. Moving in a direction to have a three person committee to oversee the shop stewarding role is carried. Dale defines what he thinks shop steward should do

Daile talks about problems with getting training. Jher suggest finding some training videos. Yes, Dale would like to have some training videos on equipment.

Dean has formally resigned as treasurer (two meetings ago) and Clif has adopted the role. Dean will continue to work, unofficially, in this capacity and assist Clif. Ben requests this is sent as a written report to the membership. Cord requests this be complete before the general election. Beata asked if the statement would account for shop inventory assets. Group decided that is too huge a job and that sticking straight to the financials would be better. The new treasurer (Clif) resolved to try to get this done wihtin a week.

Some of the items in the report would be, Iincome, Expenses, Cash flow, and membership. Hard cutoff date. by Wednesday for status and next Wednesday.

[ Michael notes privately that there are opportunities to automate both adding people to discuss@ and also adding functions to the keymaster so we can reach all of the members via email. ]

Mary expresses that she is alarmed by the meeting minutes controversy; there were conflicting minutes of the meeting, with members observing that important sections were missing in the official post. Ben calls out Clif's editing the meeting minutes to remove controversial items. Clif's response on meeting minute editing controversy is that Clif understands membership is upset by his editing of the minutes. Clif explains that he removed the part about the snap election due to a mistake in editing, and that he will do absolutely everything in his power to make sure it doesn't happen again.

Dale says the new member welcome email should say what to do if we find a piece of broken equipment. (Contact the shop steward!) In a new member list perhaps we should have instructions on how to report equipment problems. Ben's squwk list has worked well in the past. Perhaps have a wiki page of maintenance issues. Paris offers to write a system that would include all avenues of input. some further discussion.

We covered the Laser cutter time line and table saw maintenance like new blade.
== Lumber storage/cleanup ==

Ben says the lumber situation is untenable. Our sheet goods and stick goods are in piles that are difficult to safely navigate. Further, everything is stacked which limits visibility/accessibility, so people are probably going out and buying materials instead of using what we already have. Dale agrees. Ben would like to rally a group to build a structure to manage the lumber. Mary says instructables has half a dozen designs for lumber management, so finding a design should be easy.

Clif says the shop used to have a shelf but we took it down because of safety issues. Jher asks Dale to chime in on what he recommends. He says he'd like to hear more about Ben's thoughts on how to move forward. Clif says Joe also wants to make contributions here but he is not at the meeting. We agreed Joe should reach out to Dale.

On cleanup: we agreed Les would be empowered to be in charge of cleanups for the organization.

Clif says we paid a premium late due to a mixup; it got paid and everything was worked out.

Dale asks, w.r.t. insurance, what's required in terms of shop safety. Clif said he would send this information to Dale. Mary asked if untrained people using the machinery is an issue for insurance; Clif says it is not.

Cord offers that Dale should feel empowered to make any necessary changes to meet shop insurance standards. No objections raised.

Clif talked with Dale and Marcel last week. Dale reported that he has found all of the critical pieces and has some cables on order. Clif noted that we'd requested some literature to advertise their glass shop at the event but they haven't been able to provide any. They've talked about brainstorming future collaboration between our spaces. Clif has said we're ready to move the laser cutter and Marcel is super ready. We just need to be there to receive it. Clif volunteers to drive the truck. Marcell wants us to rent a 1,500lb capacity lift gate and he can take care of the rest and unload it.

Clif spoke with Ron who became excited about the wood lathe and assembled it. It's set up and on casters. Unknown if it will be used at the expo because of short timing. Clif is asking if we should put out a notice about the new tool situation. Kass noted that she'd spoken with Ron about doing the assembly together so it can be properly braced to not move, sounds like there was a miscommunication. She will check it out shortly to verify safety.

The three phase breakers for the two machines at the old shop were 15A for each phase. The fair has a converter that they no longer use but I believe it's quite a bit larger than we need. This means it's expensive, and they may be shy to loan it to us.

Talked to a guy who sells control panels as above, and he said that a 5HP converter would probably work but a 7.5HP would work for sure. Not sure if his concern was genuine or it was an oversell.

Might want a keyed lockout on the mill so unauthorized users can't run it before they are checked out.

Not all NMTB 30 will fit the quick change spindle. The "Lyndex" brand will, as will Bison, Erickson and some others. Some say "Erickson qualified", this means they fit the quick change system. As said, you can modify the other holders to fit, but why bother when they can be had so cheaply?

Stranded power cord can have different classes of jackets and insulation, coded with letters that have special meanings. Some common codes roughly from ok to best are: SJOW, SOW, SEOW, SOOW, SEOOW.

Mark gave us a mini report on Eric and Swim Left Labs. It's no longer a viable option for us because Eric is no longer desperate for tenets since he has a few more possibilities now. Though he might help out suggesting folks if we need some help filling a larger space.

Clif gave a mini update on RAIN; Though Joe Maruschak was very encouraging in his first meeting, now that he has started his new job as (executive director?) of RAIN the reality of the situation has hit him, and it looks to be a slow road. For the time being they will have a small place upstairs in the chamber of commerce offices. We will still try to get a face to face with him in the next few weeks.

Kassey's mini report: Ben says that if we are not going to move anytime soon we should invest in some attractive toys. Specifically a CNC router. Kassey is also interested in increasing the metal working station tool set, such as a nice sheet metal cutter, and or a brake.So if we chose to get a new tool or tools, we should promote it as a fund raiser in hopes that we don't tap ourself out completely.

We should talk to Bob about how soon his laser cutter might be done, so that we might focus on other tools.

So Bob, Ben, Ellery and Darrell are working on the new door system. which also automates the recording of sponsors for new key holders. We asked ourselves if anything needed to change in the policy but couldn't think of any big changes, even with other hypothetical situations like groups using the space under the guidance of supervisors.

Talked about retention times, and anonymizing some of the data. In general we thought that keeping all the data for a short while such as a week to a month, then striping some specifics during a following longer period, then just keeping some summarizing statistics for as long as we want sounded good. As far as the door goes we feel that we should record full data for a time then aggregate it into some statistics. So perhaps the people working on the door want to suggest something along those lines to the board. For the video, we can talk about the length of the archive period since it would be hard to anonymize, though it might be possible to find a package that would fuzz out all the faces.

Talked about being honest in what we want even though you might be able to finagle money through other projects. We could ask for money to host classes for free from a sponsor. Then we can have guaranteed income for rent and ramp of our classes at the same time.

Ben had some ideas about a strategy for securing donations. A lot of companies will have mission statements that talk about outreach. we should target the intersection between our two groups. We check your box if you check ours! ;-) This was reinforced by the video Mark referred us to.

Weston: We don't have staff, but it would be much easier if we were big enough to have paid staff.

Talked with Jher from the UofO about how best to pitch our application for the Wayne Morse Center grant.

In the grant application information, they focus a lot on New Media. Jher wants us to know that new media specifically includes material digitalization and maker spaces. Weston took a class on new media and talked about user engagement. All media interfaces deal with the material world. This is the crux of what maker spaces are about. The the digital world requires materialization to even exist. Weston says recently NPR had a piece on our world becoming more and more digital, "everyone must learn how to code" or else... EMS should should be a clearing house of info and tools to help people cope, do outreach, Teach!

UofO Science library has a 3D printer now which shows this is the direction media is going. Media is intertwined with Democracy. Democracy is supported by digital infrastructure.

Ben asked about sustainability, UofO is big on sustainability. EMS supports sustainability at several levels:

Where we are at on advertising, and what remains to be done for the event? Mark says, primary advertising onto community calendars, KRVM, Craigs List, and other TV stations are done. Basically all free electronic outlets, and has asked folks to put on email lists. Then he put together a simple flier for the event, and others will put it up. Marie will update the EMS tri-fold brochure so we'll have that to hand out too, and she would like to make fridge magnets.

Do we want to have refreshments there? No. We told the owners of the space we're not having any, and it might be too late to change our minds.

Do we want to have EMS swag, if so (and maybe this is a side thing) do we want to make fliers, cards, brochures and such to give away? Yes probably for fliers and cards. Bring 3D printed objects! :-)

Currently our list of volunteers are: Darrell, Marie, and Weston who will help with the event itself. Still need people to make 3D objects, Bob? James?

A word of caution, though – don’t skimp on your building choice in order to pay a lower rent. Fixing broken buildings costs much, much more, over time, than renting good ones, to the point of shutting down maker-spaces that don’t acknowledge this fact. Redoing the roof of an industrial space (which usually happens once every 10-20 years) can cost upwards of $5-10 per square foot; installing a sprinkler system because the fire marshal caught you woodworking without sprinklers and threatened you with closure costs $10-15 per square foot; and repairing or replacing a broken or ineffective air conditioner with a new industrial-grade air conditioner can easily run $5,000 to $15,000 – just to name a few common building-scale maintenance expenses. Typical membership rates vary anywhere from $40 per month for a ‘starving hacker’ membership at Noisebridge, to $175 per month at TechShop.

Treat your Hackerspace like a business, but it should not feel like a business to the members. Members want to just drop in, hack, teach, and learn. The administrators should strive to make this as easy as possible.

Didn't seem like a whole lot more people in attendance at least from the outside. So it seems like more people were inside. 6 tables inside last year but this year was about 10. For a total of about 17 tables. Hard to say but Kevin thinks there may have been about the same total number in attendance. Maybe Nick knows. In general there was tighter security. The robot society was more prominent. We had two tents this year up from one last year! we had four tables. The 3D printers were a big hit. Spin bots were a hit! :-) Went though all the post cards. It seems likely we will get a couple of sign ups out of it. Lots of fliers went etc... The journalist who interviewed us earlier was also at the faire doing an article about fathers and sons. An RG reporter interviewed Rick and plugged EMS with lots of details. Some kids from Family Hack Night came with their inventions, which generated some interest.

It's hard to find a good time when everyone can meet. Less than half of our members seem to respond to our doodle (scheduling request). What we got was a very slight preference for an open hack night evening, and a lessor preference for a Saturday afternoon. We decided to add a Hack your Hacker Space informal meeting the last full week of the month. If there is enough interest in having a formal general membership meeting at the end of the month then that can also happen.

If grounds appear to exist for suspending or terminating a member according to the GD, the following procedure shall be followed:
* (a) The board shall give the member at least 15 days' prior notice of the proposed suspension or termination and the reasons for the proposed suspension or termination. Notice given by mail shall be sent by first-class or registered mail to the member's last address as shown on the corporation's records.
