Eugene Maker Space Board of Directors meeting November 14th, 2024

Note: This is a draft of the minutes until accepted at the next BoD meeting

Call to order

6:15 PM

Approve this agenda

Motion: Ben moved that the Eugene Makerspace Board of Directors approve the agenda as presented.

The motion was seconded by Andrew.

Motion passes, the vote was Unanimous.

Approve previous minutes

Motion: Sam moved that the Eugene Makerspace Board of Directors approve the minutes from the October BoD meeting as submitted.

The motion was seconded by Beata.

Motion passes, the vote was Unanimous.

Reports

President's report

Karen was unable to attend, no report this meeting. She was missed.

Secretary's report

Nothing to report.

Treasurer's report

We got the funds from the GoFundMe, thank you Andrew for setting that up. Piotr has some physical monies onhand that he will deposit.

We discussed the status of our rental contract. The fire was on September 15th, we paid for the month of September at the beginning so we discussed whether or not we were due to a prorate of the month.

We discussed formally terminating our lease.

Motion: Piotr moved that the Eugene Makerspace Board of Directors To terminate the lease for the space with Bennett.

The motion was seconded by Andrew.

Motion passes, the vote was Unanimous.

Piotr is winding down his final duties as Treasurer and will be stepping down at this end of this term.

Shop status

In pieces. 0% utilization.

Sam reported that cleanup started last week. AbateRight is subcontracted by ServiceMaster to remove asbestos and debris. We have a storage pod onsite and they have instructions on what to clean and will be putting things into it. They have been stacking things in the office and sealing it off. Anything that just needs a quick wipedown, we've instructed them to do so and put it into the storage pod.

They asked about the large CNC. Do we want it?

We discussed how the pod was paid for, we used the EMS account.

Motion: Andrew moved that the Eugene Makerspace Board of Directors Authorize Tom to talk to the abatement company regarding possible recovery of some heavy equipment such as the CNC table, Drill press, mill at an expense separate to EMS.

The motion was seconded by Ben.

Motion passes, the vote was Unanimous. Sam will reach out to Tom with this offer.

Regarding the search for a new space, we're working with a local maker who is interested in possibly subletting shop space to us as we are working to much common purpose. We are meeting with him on Sunday to continue this discussion. We're also looking for alternatives such as working with Eugene to see if a space such as the old bus station is available or possibly even placing the new shop in Springfield at the Booth Kelly building where some space may be available.

Troy has spoken with a real estate developer friend who told him about the Booth Kelly space. Troy offered to participate in a parallel search for a space.

Peter Dekluyver joined to report on a promising building he's found down near REI. It's approximately 6kft and he expects to need just a subset of that.

He discussed another space on 3rd street where he might build a shop with the idea that making a space for the maker space available.

We talked about some other options including the Booth Kelly Center.

Wiki account creation

The wiki is open for new accounts and hundreds of spammer accounts are being created. Could we perhaps turn that off and make accounts on request from members?

Next steps: Andrew will turn this off.

Re-schedule December board meeting

Re-schedule December board meeting to allow present board certification of the vote, and new board to take office at December meeting.

Motion: Ben motions that we move the next meeting to the move to the 12th to accommodate this moved that the Eugene Makerspace Board of Directors Andrew.

The motion was seconded by unanimous.

Report on out-of-shop popups/meetings

Sam reports that in lieu of having a shop, we've begun doing weekly meetings at PLAY Eugene to keep the community together. It's more social than anything because of limitations to the space, but still going well.

We've also started doing a series of popup maker events! There's a classroom MECCA made available to us for 4 hours on Saturday and we had good turnout. Someone donated a large format 3D printer (Helmet class!) for the new shop.

The group did a group project to make a piece for a visitor that explored the entire problem space for things that can go wrong but they were successful in the end. An unexpected side effect of this was that the person behind the project is a grant writer who has offered some very useful information that will assist us in the future.

Sam reported on some additional potential spaces that might be available for other events and is actively pursuing more. We'll get some sandwich boards together and look to draw new members.

Social media access for Troy

Troy had some questions about some of the accounts, some use the treasurer@ account for example.

Ben will get Troy access to the Facebook profile.

Review upcoming events

Weekly in-person meetings at PLAY Eugene as the shop is currently unavailable.
