Eugene Maker Space Board of Directors meeting June 12th, 2025

Call to order

  • 6:10pm
  • In attendance: Sam, Troy, Suzi, Piotr

Approve this agenda

Motion: Sam moved that the Eugene Makerspace Board of Directors Approve the agenda as presented.

The motion was seconded by Troy.

New business

Prepare Fire Prevention Plan

Both OSHA and NFPA (National Fire Protection Association) require a business to have written up a Fire Prevention Plan. It’s a formal list of the procedures we’ll follow, including stuff like placing and regular inspections of fire extinguishers, training on their use, materials handling and storage, electrical safety measures etc. We need a similar document for prospective landlords.

  • ACTION: Troy will draft a overview of the fire and how we’re approaching the risk in our next space.
  • ACTION: Sam will Draft a framework for the Fire Prevention Plan document.

New space location-hunting report

  • Member survey, results and conclusions
    • 45 Respondents
    • Location preferences: WhitakerMarker district, then West Eugene. Less popular: Springfield.
    • Almost all willing to commute 20mins or so.
    • 84% have car/truck. A few relying on bike or public transportation.
    • Biggest takeaway: large, flexible space most important (over location)
    • Activities: collaboration (learning, working together) with high interest
    • High interest in hosting/presenting workshops
    • Private studios: broadly ok, some concerns
    • ACTION: Sam will pull some highlights and graphs for the Patreon membership update.
  • Another rejection from Railroad Blvd landlord
    • No reason given.
  • Tyinn St and other prospects
    • Tyinn not currently leasing (sign is out of date)
  • 1210 Interior passed on us due to prior fire.
  • We need to get ahead of that, w/ package of safety plan
    • Sam researched OSHA guidelines for fire prevention plan

      • Regular training for all shop procedures

Events report

  • Thank you to Suzi hosting Monday event for several months, bringing us new community members.
  • Ongoing weekly events:
    • Regularly scheduled events: Open Snack @ Play every Tuesday. Cozy Crafting every other Sunday, small but steady attendance
    • ACTION: Sam will meet up with Monty to hand-off business cards, stickers..
  • Review past & upcoming events
    • May pop-up at 16 Tons. Well attended (15 people). Owner was very happy and invited us back.
    • June 6 First Friday Artwalk @ Farmers Market Pavillion, with Bright Parade
    • LEDs/Costume workshop w. Bright Parade. Date TBD in July
    • Potential workshop w. Shift.

Further new business

  • Contacting other makerspaces
    • ACTION: Suzi will prepare a boilerplate email and list of makerspaces..
    • We’re hoping to make contact with other spaces, compare notes, create a network. Funding options, membership policies
  • Wiki Gardening
    • ACTION: Sam will tag some of the content on there we want to archive. This would go faster with a wikimedia addon to quickly add categories to pages, but the ..
    • ACTION: Andrew will either install the addon or adjust permissions to allow board members to do so.
  • Accepting donations at events
    • Point of sale device: Zeffy
      • Andrew has setup Zeffy with tentative membership tiers to allow us to explore the platform
    • Cash donations are awkward: revitalize the robot arm project for tabled events

Re-opening preparedness

  • Updating mission statement, **policies** and other about-us and how-we-roll documents
    • ACTION: Suzi will identify what those current documents are.
  • Ventilation, doors partitions, electrical, and other build out: who will do what?
    • ACTION: Troy. will coordinate assembling a list of contractors and other assistance we’ll need to build out the new space. (people to help us do work & sign off on it).
