"Keyholder" is a role which is defined in our governing documents. It is what it says on the tin: you have a key to the space and can access it any time (the key may be physical or a RFID key.)

How to become a keyholder

Having more keyholders allows us to keep the space open and accessible for more members at more times during the week. Being a keyholder is open to any member in good standing - regardless of their payment tier.

This role is granted selectively to members who are willing to host regularly open hours during some of the time they spend at the space.

The process of becoming a keyholder starts with being nominated by a current member, and then vouched for by at least one other member. You can start the process by asking in person, on Discord or by email to our board@ address. The decision rests with the Board of Directors. Granting the role requires a majority vote by the board members. As the role extends significant trust to an individual member and is also dependent on the current number of keyholders, both "yes" or "no" outcomes are normal and anyone denied is encouraged to let time pass, keep using the space, get to know people more and try again later.

Keyholder rules & responsibilities

  • Keyholders must be "members in good standing", i.e. they are currently paid up at at least our Basic ("EMS Member") tier. If your membership is terminated or allowed to expire, you will automatically lose keyholder status. Paying more has no bearing on who gets keyholder status. Building trust does.
  • Physical or digital keys are not transferable.
  • We expect keyholders to host at least 10 open hours a month. There's much more detail about that process at Hosting_open_hours.

Why isn't every member a keyholder?

  • This was part of the agreement that made our current lease possible. Our landord - as well as our insurance company - felt it was important that we maintained a list of known and trusted individuals who had keys to the space, and that we were intentional about selecting people on that list, had policies around who got a key and so on.
  • At our previous space, all members were given a key as a part of their membership. It was convenient but also traced back as the root cause of many of the challenges we struggled with. By ensuring "open" means there is always a host and known, trusted and responsible member on-site, we hope to create a better and more sustainable situation for all our members.
