Eugene Maker Space Board of Directors meeting May 15th, 2025

Call to order

  • 6:21 PM
  • In attendance: Sam, Troy, Andrew, Suzi,

Approve this agenda

Motion: Sam moved that the Eugene Makerspace Board of Directors Approve the agenda as presented.

The motion was seconded by Andrew.

Motion passes, the vote was approved unanimously.

New business

New Board Member

Motion: Sam moved that the Eugene Makerspace Board of Directors Suzie Herman should extend an invitation to join the EMS board as a director at large for the remainder of this term.

The motion was seconded by Troy.

Motion passes, the vote was Approved unanimously.

  • Suzi accepted our invitation.
  • ACTION: Andrew will add her to Discord boardmember role, google workspace and extend her access to Vaultwarden.

Co-signer for lease

We agreed to and sent a letter to our prospective landlord authorizing Mark Davis to co-sign a lease on behalf of EMS.

Reports

President’s report

  • See shop hunting and new business
  • Liability insurance update: We are currently working with PBC Insurance to get us a quote for a general liability policy with adequate coverage for the range of activities in the makerspace - including woodworking which several insurers have balked at so far. ETA next week

Secretary’s report

  • We received historical documentation from former board member Piotr. Its hard copy and will need digitizing.
  • Follow up on action item from April: Sam to investigate a process for capturing agenda, meeting minutes and archiving those on the wiki.

Shop status / New space location-hunting report

  • Update on status of the 1325 Railroad Blvd prospect
  • We are in the process of putting EMS forward again as a potential leasor of this property, with the new details from Mark Davis / Mark Davis Holdings.

Events report

  • Ongoing weekly events:
    • Regularly scheduled events on Monday, Tuesday and every other Sunday.
    • ACTION: Sam will distribute business cards and stickers to event hosts.
  • Review upcoming events
    • LEDs/Costume workshop w. Brite Parade. Date TBD in July
    • June 6 First Friday Artwalk @ Farmers Market Pavillion

  • Contacting other makerspaces
    • ACTION: Sam will prepare a boilerplate email and list of makerspaces..
  • Wiki Gardening
    • ACTION: Sam will tag some of the content on there we want to archive. This would go faster with a wikimedia addon to quickly add categories to pages, but the ..
    • ACTION: Andrew will either install the addon or adjust permissions to allow board members to do so.
  • Accepting donations at events
    • Point of sale device: Square/Paypal? Zeffy?
      • Andrew is investigating how Zeffy will meet these needs.
      • ACTION: Andrew will try out setting up Zeffy as membership platform.
    • Cash donations are awkward: revitalize the robot arm project for tabled events

Re-opening preparedness

  • Fundraising and membership platform
    • Next steps: we are currently evaluating Zeffy
  • Ventilation, doors partitions and other build out: who will do what?
    • ACTION: Troy. will coordinate assembling a list of contractors and other assistance we’ll need to build out the new space.
